Position Overview
We are looking for an enthusiastic and organized Events Intern to support our Events Manager in planning and executing TRG International's in person events and webinars. This is a hands on role for someone who wants to learn the fundamentals of B2B event management, from logistics and vendor coordination to attendee communication, while working alongside an experienced events professional. The intern will follow the Events Manager's lead on all activities, taking on supporting tasks that allow the Events Manager to focus on strategic planning and stakeholder management.
Key Responsibilities
Event Support
Assist the Events Manager in preparing timelines, checklists, and run sheets for in person events and webinars.
Help track event budgets and vendor quotes under the Events Manager's guidance.
Support day of event logistics (registration desk, attendee check in, materials setup) for in person events.
Communication (Internal & External)
Help draft and send attendee communications: invitations, reminders, confirmations, and follow up emails.
Coordinate with internal teams (content writers, designers, production team, automation specialists) to collect event assets (invitations, slide decks, banners, handouts) on schedule, as directed by the Events Manager.
Act as a point of contact for routine attendee questions, escalating anything non standard to the Events Manager.
Assist with external vendor communications (venues, caterers, AV providers): sending information requests, confirming details, following up on action items.
Webinar & Platform Support
Help set up and manage webinar registrations on platforms such as Zoom, Teams, or HubSpot.
Monitor registration numbers and send attendee reminders and follow ups.
Assist with basic troubleshooting or coordination during live webinars.
Reporting & Feedback
Help collect post event feedback (surveys, attendance data).
Support the Events Manager in compiling simple post event summaries (attendance, engagement, notable feedback).
General Support
Maintain organized records of event documents, contacts, and vendor information.
Take on ad hoc tasks assigned by the Events Manager to keep events running smoothly.
Qualifications
Currently pursuing or recently completed a degree in Marketing, Communications, Business, Hospitality, or a related field.
Strong written and verbal communication skills; comfortable corresponding with both internal colleagues and external contacts and vendors.
Good organizational skills and attention to detail; comfortable juggling multiple small tasks.
Proactive, reliable, and willing to follow direction while also flagging issues early.
Basic proficiency with Microsoft Office / Google Workspace; familiarity with tools like Zoom, Teams, or HubSpot is a plus (training provided).
Positive, can-do attitude and interest in learning the events and marketing field.
